Privacy Policy
Your family's privacy matters to us. This Privacy Policy explains what information Family Pilot AI collects, how we use it, and the choices you have.
Effective Date and Version
This Privacy Policy is effective as of September 3, 2026 and is Version 1.2. If we make material changes, we will update the effective date and version number and notify you before the new terms take effect.
1. Information We Collect
Account information such as your name and email address when you sign up.
Calendar and email data from providers you connect (such as Google, Apple, and Microsoft Outlook), used to power scheduling features.
Usage and device information that helps us operate, secure, and improve the Service.
2. How We Use Your Information
We use your information to provide and improve the Service, to detect and resolve scheduling conflicts, to communicate with you, and to keep your account secure.
We do not sell your personal information.
3. Connected Accounts
When you connect a third-party calendar or email account, we access only the data needed to provide our features. You can disconnect these accounts at any time from your settings, which stops further access.
4. Google User Data (Gmail and Google Calendar)
If you choose to connect a Google account, Family Pilot AI requests read-only access. Gmail access uses the https://www.googleapis.com/auth/gmail.readonly scope and Google Calendar access uses the https://www.googleapis.com/auth/calendar.readonly scope. We never request permission to send, modify, or delete your Gmail messages or calendar events.
What we access: message headers and message bodies only from the specific senders you add as email sources, plus upcoming events on your primary Google Calendar.
How we use it: solely to detect schedule information — practices, games, school events, cancellations, and time changes — and turn it into calendar events, reminders, and alerts inside your Family Pilot AI account. Gmail and Calendar data is never used for advertising, never sold, and never used to build user profiles.
Human access: no Family Pilot AI employee reads your Google user data, except with your explicit written permission for a support request you initiate, or where required by law or to investigate abuse or a security incident.
AI processing: message text may be sent to our AI model provider solely to extract schedule details for your account. That provider processes the data only to return a result to us and is contractually prohibited from using it to train models.
Transfer to others: we do not transfer Google user data to third parties, except to the limited service providers that operate the Service on our behalf (hosting, database, and AI extraction), and only as needed to provide the features you requested.
Retention and deletion: extracted events and alerts are retained while your account is active. Raw Gmail message content is not retained beyond the processing needed to extract schedule details. Disconnecting your Google account from Settings immediately revokes our access tokens and stops all further access. You can delete your account and associated data at any time by contacting support@familypilot.net.
Revoking access: you can also revoke Family Pilot AI's access directly at https://myaccount.google.com/permissions.
Family Pilot AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
5. Other Connected Mailboxes (Yahoo, iCloud, Outlook)
Yahoo Mail and iCloud Mail connect over IMAP using an app-specific password that you generate with that provider. App passwords are stored encrypted and are used only to read messages from the senders you add. You can revoke an app password at any time from your Yahoo or Apple account settings, and you can remove the connection from Family Pilot AI's Settings page.
You control how far back we read. Email scanning starts on the date you choose — by default your sign-up date, and no more than seven days earlier — so we never scan your entire mail history.
6. Photos and Videos (Family Moments)
Photos and videos you add to Family Moments are stored privately for your household. They are not public, are not used to train AI models, and are never sold or shared for advertising.
Moments media is automatically deleted 60 days after upload unless you choose to keep it longer, and you can delete any item yourself at any time. Highlight reels are assembled on your own device from media you already uploaded.
If you create a share link for a moment, anyone who has that link can view that item until you revoke the link. Only share links with people you trust.
7. Location and Navigation Data
Navigation buttons simply open Waze, Google Maps, or Apple Maps with the destination — Family Pilot does not track your live position in the background.
When you choose to share an ETA, we store the destination, an estimated arrival time, and the starting point you provided, visible only to your household. Shared ETAs expire automatically within a few hours.
Home and saved addresses you enter are used only to estimate drive time and leave-by reminders.
8. Notifications
If you enable browser or lock-screen alerts, we store a push subscription for that device so we can deliver reminders. Turning notifications off in the app or your browser removes it.
9. Cookies and Analytics
We use essential cookies and local storage to keep you signed in and remember preferences. We use limited, privacy-respecting product analytics to understand which features are used so we can improve them. We do not use advertising trackers.
10. Beta Program
During the closed beta, feedback, bug reports, and survey answers you submit are stored with your account so we can respond and improve the product. Beta features may change or be removed, and beta data may occasionally be reset — we will tell you before doing so.
11. Data Sharing
We share data only with service providers that help us run the Service, and only as needed. We may disclose information when required by law or to protect rights and safety.
12. Data Retention and Security
We retain your information for as long as your account is active or as needed to provide the Service. We use industry-standard safeguards to protect your data, though no system is completely secure.
13. Your Rights
You can access, update, export, or delete your account information at any time. Settings includes a self-serve data export and account deletion. You may also contact us at support@familypilot.net, and depending on where you live you may have additional rights to access, correct, delete, or restrict use of your data.
14. Children's Privacy
The Service is intended for use by adults managing their family schedules. We do not knowingly collect personal information directly from children.
15. Changes to This Policy
We may update this Privacy Policy from time to time and will notify you of material changes.
